• Via HMRC/Companies House (where authorised)

3. Why we collect your data (Lawful Basis)

Under UK GDPR, we process your data under:

• Contract – to provide Bookkeeping/Accountancy/Tax services/Admin services/Other Services as per agreement

• Legal obligation – HMRC, MLR17, CIMA AML requirements

• Legitimate interests – Practice Administration

4. Who we share your data with

• HMRC

• CIMA (if required for regulatory purposes)

• Subcontractors and Third Party Freelancers who assist with the services provided  (under strict contracts)

• Cloud software providers (Xero, QuickBooks, OneDrive, etc.)

• We do not sell, rent, or share your personal data with third parties for marketing purposes

 

5. International Transfers

If work is outsourced to Subcontractors/ Freelancers outside the UK/EEA:

• Transfers are protected using ICO IDTA or UK Addendum

• A Transfer Risk Assessment (TRA) is completed

• Subcontractors/ Freelancers sign a Data Processing Agreement (DPA)

6. How long we keep your data

• 6 years after the end of the client relationship (legal requirement)

We use encrypted systems, secure cloud storage, password‑protected access and restrict data access to authorised personnel only.
